Get your AI visibility scorecard in Google Sheets, updated every week

By AI-Advisors·AI Automation·All plans

AI-Advisors sends your AI visibility data where your reporting already lives. Any table in the app exports to a formatted Google Sheet in one click, and a scheduled weekly sync keeps a four-tab spreadsheet current in your Drive - while the charts, formulas, and extra tabs you build on top are never overwritten.

Overview

Marketing teams report in spreadsheets, so AI-Advisors meets them there. The integration works two ways: on demand, the Export menu on tables across Answer Engine Insights, AI Ads, and AI Analytics creates a formatted Google Sheet in your Drive and opens it in a new tab; on a schedule, a weekly sync maintains a single spreadsheet your team can bookmark once and check every week without logging into AI-Advisors.

The weekly spreadsheet has four tabs. Visibility carries your headline KPIs - Visibility Score, Share of Voice, Average Position, and Citation Share - with week-over-week deltas and a competitive ranking. Prompts holds the same per-prompt stats table as the in-app CSV export, and Citations breaks down which domains cite you. The fourth tab, My Dashboard, is yours: the sync writes it once at setup with a working formula example, then never touches it again, so the report you build once stays current every week.

Access is deliberately narrow. The connection requests a single Google permission that limits AI-Advisors to files it created itself - it cannot see, list, or modify anything else in your Drive. Data flows one way, from AI-Advisors into your sheet, and nothing is ever deleted from Drive, even when you disconnect.

How it works

One-click export to a new Google Sheet

The shared Export menu on tables across Answer Engine Insights (Visibility, Prompts, Citations, Sentiment, Platforms, Search Shift), AI Ads (Campaigns, Ad Groups, Ads, Coverage), and AI Analytics Pages includes Export to Google Sheets. Each export creates a formatted spreadsheet in your Drive - a bold title, a metadata line recording the source page and timestamp, frozen header rows, and numbers stored as real numbers - and opens it in a new tab.

A weekly spreadsheet that updates itself

One checkbox in the Delivery tab of AI Automation creates a spreadsheet named for your organization and rewrites its three data tabs every week, on the day you choose, matched to your organization's timezone. Visibility covers your KPIs with week-over-week deltas plus a competitive ranking, Prompts holds an 11-column per-prompt stats table, and Citations maps your domain-level citation funnel.

A My Dashboard tab the sync never touches

The fourth tab is written once at setup, with a welcome line and a working QUERY formula example that references the data tabs. The weekly sync never writes to it afterwards, so the charts, formulas, and any extra tabs you add persist across every refresh. And if someone deletes a managed data tab, the next sync recreates it.

Sync now, on demand

A Sync now button in the Delivery tab runs the full sync immediately - it even works mid-setup, so you can verify the spreadsheet without waiting for the weekly schedule. The same tab shows a last-synced timestamp and an Open sheet link that jumps straight to your report.

Access limited to files it creates

The integration requests exactly one Google permission: per-file Drive access. AI-Advisors can see and edit only the spreadsheets it created itself - it cannot list, read, or modify any other file in your Google Drive, and it never touches Gmail or any other Google service.

Failures that announce themselves

Access tokens refresh automatically before they expire. If a weekly sync fails twice in a row, it pauses itself and the Delivery tab shows an amber Action required badge instead of failing silently. Google-side problems, like a full Drive or Google's daily quota, surface as specific, actionable messages rather than generic errors.

Set up

Setup is a standard Google consent screen - no code, no CSV juggling, no field mapping.

An org owner or admin opens Settings, finds the Google Sheets row under Integrations, and clicks Connect. Google's consent screen asks for one permission - access to files the app creates itself - and returns you to Settings with the row marked Connected. One-click export is live immediately: open the Export menu on any table, choose Export to Google Sheets, and the new spreadsheet opens in a new tab.

For the weekly report, open the Delivery tab in AI Automation, tick the Google Sheets channel, and pick a sync day. A four-tab spreadsheet is created in your Drive and opens automatically, and you can hit Sync now to fill it with this week's numbers right away instead of waiting for the schedule. Starting from the Delivery tab before you have connected routes you through the same consent flow and returns you there.

Takes a few minutes

Data and permissions

This is a one-way push built on the narrowest Google permission available: AI-Advisors writes your data into spreadsheets it creates, reads nothing else, and deletes nothing.

What we read
  • The tab list of the one spreadsheet it created, so the weekly sync can update tabs in place
  • Nothing else - the per-file permission makes reading other Drive files impossible
What we write
  • New spreadsheets in the connected user's Google Drive: one per one-click export, plus one named weekly report for the scheduled sync
  • The three managed data tabs (Visibility, Prompts, Citations), cleared and rewritten by each weekly sync with the last 7 days of AI visibility data
  • Everything written comes from your AI-Advisors data - nothing is pulled from any other Google product
What we never touch
  • Any pre-existing file in your Google Drive - it cannot even list them
  • The My Dashboard tab, or any tab you add yourself
  • Spreadsheet deletion - turning the sync off and disconnecting both leave every sheet in place
  • Your Google account profile, Gmail, or any other Google service

One OAuth scope is requested: Google's per-file Drive permission (drive.file), which limits access to files the app creates itself. The broader spreadsheets permission, which would expose every sheet in your Drive, is deliberately not requested.

Good to know

  • Included on all plans - Starter, Growth, Enterprise, and AppSumo lifetime tiers all cover both one-click export and the weekly sync.
  • One-click exports are limited to 10 per user per hour; the weekly sync runs once per week on the day you pick, matched to your organization's timezone, and Sync now works anytime.
  • The weekly spreadsheet covers your organization's primary website and snapshots the last 7 days, with the previous 7 computed for week-over-week deltas.
  • Enabling the weekly sync requires at least one tracked website with prompt data, so the first report has something to say.
  • Turning the sync off and re-enabling it later creates a fresh spreadsheet; the old one stays in your Drive untouched.
  • Disconnecting removes the stored connection from AI-Advisors but never deletes a spreadsheet from your Drive.

Frequently asked questions

Which plan do I need for the Google Sheets integration?

Every current plan includes it - Starter, Growth, Enterprise, and all AppSumo lifetime tiers. One feature covers both halves: the one-click table export and the scheduled weekly sync.

What Google permissions does AI-Advisors ask for?

Exactly one: Google's per-file Drive permission, which limits access to files the app creates itself. AI-Advisors cannot list, read, or change any other file in your Google Drive, and it never touches Gmail, your account profile, or any other Google service.

Will the weekly sync overwrite the charts and formulas I build?

No. Only the Visibility, Prompts, and Citations tabs are rewritten each week. The My Dashboard tab and any tabs you add are never written by the sync, so your custom work survives every refresh. If a managed data tab gets deleted by accident, the next sync recreates it.

What data ends up in the spreadsheet?

The last 7 days of AI visibility data for your organization's primary website: Visibility Score, Share of Voice, Average Position, and Citation Share with week-over-week changes, a competitor ranking, a per-prompt stats table, and a domain-level citation breakdown. Data flows one way, from AI-Advisors into your sheet - nothing is read back.

How long does setup take?

About a minute to connect - a single Google consent screen from Settings. The weekly sync is one checkbox plus a day picker in the Delivery tab; the spreadsheet is created and opened immediately, and Sync now lets you test it without waiting for the schedule.

Are there limits on how much I can export?

One-click exports are limited to 10 per user per hour, with the retry time shown if you hit the cap. The scheduled sync runs once a week on the day you pick, in your organization's timezone, and you can trigger it manually anytime with Sync now. Google's own daily quota and Drive storage limits apply on top, and both surface as specific in-app messages.

What happens if I disconnect or turn the sync off?

Turning the sync off stops the weekly write and nothing more. Disconnecting removes the stored connection on the AI-Advisors side. In both cases every spreadsheet stays in your Google Drive - the integration never deletes a file, so the reports you have shared keep working.
